Privacy Notice

1. Introduction and Accountability

MeetCanada (“MeetCanada,” “we,” “us,” or “our”) is an independent, Vancouver-based travel resource and curated experience marketplace operating the website at meetcanada.live. We connect domestic and international visitors with more than one hundred vetted, top-rated guided tours across all ten Canadian provinces and three territories, and we publish destination guides, seasonal travel calendars, and border-crossing advice. As an affiliate publisher we may earn referral fees from listed tour operators, but compensation never affects how we collect, use, or protect your personal information.

This Privacy Notice explains what personal information we collect through meetcanada.live, why we collect it, how we use and disclose it, and the choices and rights available to you. We handle personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA, S.C. 2000, c. 5) and, because we are based in British Columbia, the provincial Personal Information Protection Act (BC PIPA). Our electronic messages are governed by Canada’s Anti-Spam Legislation (CASL). MeetCanada is accountable for personal information under its control, including information transferred to the service providers described below.

2. Personal Information We Collect

We collect only the information we need to respond to you, build trip recommendations, and operate the website. The categories of personal information we may collect are:

  • Identity and contact details. Your name and email address, submitted through our contact form and trip-request forms so that we can reply to you.
  • Trip-planning preferences. When you use our AI trip planner you may share your budget range, travel dates, activity interests, group size and composition, and mobility requirements. We use these details only to suggest matched experiences and itineraries.
  • Message content. Any information you choose to include in the message field of a form, such as questions about a specific experience, operator, or destination.
  • Newsletter subscription data. If you subscribe to our weekly community newsletter, we collect your email address and your consent to receive commercial electronic messages.
  • Technical and usage information. Your IP address, browser type, operating system, referring page, and the pages you view on meetcanada.live. This information is collected automatically and helps us keep the site secure and improve content.
  • Cookie information. Small data files described in our Cookie Notice, including the preference cookie that remembers your consent choice.

We do not knowingly collect sensitive information such as health, financial account, or government identification numbers, and we ask that you not include such details in free-text fields. Because bookings are completed directly with the tour operator, we do not collect or process your payment-card information on meetcanada.live.

3. Purposes for Which We Use Your Information

We identify the purposes for collecting personal information at or before the time of collection. We use your information to:

  • Respond to enquiries and requests you send through our contact and trip-request forms;
  • Generate personalized itinerary suggestions through the AI trip planner based on the preferences you provide;
  • Connect you with relevant verified operators and present accurate experience details, ratings, seasonal timing, and pricing tiers;
  • Send our weekly newsletter, flash deals, and insider tips where you have consented to receive them;
  • Maintain the security, integrity, and proper functioning of meetcanada.live and prevent fraud or abuse;
  • Analyse aggregate usage to improve our editorial content, destination guides, and the experiences we curate;
  • Comply with our legal obligations and respond to lawful requests from authorities.

We will not use your personal information for a new purpose that is materially different from those above without first obtaining your consent, unless required or permitted by law.

4. Consent

By submitting a form on meetcanada.live and ticking the required consent checkbox, you consent to the collection and use of your personal information as described in this Notice. For our newsletter, we rely on your express consent in accordance with CASL, and every commercial message we send includes a working unsubscribe mechanism. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us at the address in Section 10. Withdrawing consent may limit our ability to provide certain features, such as personalized trip recommendations or the newsletter.

5. Disclosure and Service Providers

MeetCanada does not sell your personal information. We disclose personal information only as needed to operate the website and serve you:

  • Hosting and infrastructure providers that store the website and process form submissions on our behalf;
  • Email and newsletter providers used to deliver our responses and commercial electronic messages;
  • Tour operators and travel providers only where you actively choose to proceed to a booking link — in that case any information you submit on the operator’s own platform is governed by that operator’s privacy policy, not ours;
  • Legal and regulatory authorities where disclosure is required by law, court order, or to protect our rights and the safety of users.

Some of our service providers may store or process data outside British Columbia or outside Canada. Where this occurs, your personal information may be subject to the laws of the jurisdiction in which it is held, and we take reasonable contractual and technical steps to ensure a comparable level of protection consistent with PIPEDA and BC PIPA.

6. Retention and Safeguards

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected or as required by law. Form submissions and enquiry records are generally retained for up to twenty-four months, after which they are securely deleted, while newsletter subscription data is kept until you unsubscribe. We protect personal information with safeguards appropriate to its sensitivity, including TLS encryption of data in transit, restricted administrative access on a need-to-know basis, randomly named and access-protected storage for lead records, and regular review of our security practices. No method of transmission or storage is completely secure, but we work to protect your information against loss, theft, and unauthorized access, use, or disclosure.

7. Your Rights Under Canadian Privacy Law

Subject to certain legal exceptions, you have the right to:

  • Access the personal information we hold about you and receive an account of how it has been used and to whom it has been disclosed;
  • Correct or update information that is inaccurate or incomplete;
  • Withdraw consent to the continued collection, use, or disclosure of your information, subject to legal or contractual limits;
  • Request deletion of your information where we are no longer required to retain it;
  • Unsubscribe from our newsletter and other commercial electronic messages at any time;
  • Challenge our compliance with this Notice and applicable privacy laws by contacting our privacy contact below.

We will respond to a verified request within thirty days, as required by PIPEDA, or tell you if we need additional time. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

8. Cookies and Analytics

Cookies are small text files stored in your browser. We use a strictly necessary preference cookie to remember your cookie-consent choice so the consent banner does not reappear on every visit. 9. Children’s Privacy

MeetCanada is intended for adults planning travel. We do not knowingly collect personal information from children under the age of majority in their province or territory without parental consent. If you believe a minor has provided us with personal information, please contact us so we can delete it.

We may update this Privacy Notice from time to time to reflect changes in our practices or legal requirements. The “Last updated” date above indicates when the latest revision took effect, and material changes will be posted on this page.
